Data Deletion Instructions
Effective date: October 8, 2026
This page explains how to remove a connected social media account from MemberTrace and delete the data MemberTrace stores for that connection, including data received through Facebook, Instagram, LinkedIn, and X. For other personal information, see our Privacy Policy.
1. What MemberTrace Stores for a Connected Account
Organization administrators can connect their organization's own Facebook Page, Instagram account, LinkedIn Page, X account, YouTube channel, or RSS feed so that the organization's recent posts appear in its members' MemberTrace home feed. MemberTrace only reads posts from the connected account. It does not publish, comment, or message on the organization's behalf. For each connection, MemberTrace stores:
- the connected account's name and platform identifier;
- the access authorization (tokens) issued by the platform, stored encrypted; and
- a cache of the account's recent posts (text, images, links, and publish dates), refreshed about every 15 minutes.
2. Disconnect the Account in MemberTrace
An administrator of the organization can remove a connection at any time:
- Sign in to your organization's MemberTrace admin portal.
- Go to Settings → Integrations and open the connected platform (for example, Facebook, Instagram, LinkedIn, or X).
- Select Sign out (or Remove for an X account added by handle) next to the connected account.
Signing out deletes the stored connection for that account, including its access tokens and all cached posts from that account. The organization's posts stop appearing in the member home feed. YouTube channels and RSS feeds can be removed the same way.
3. Revoke Access from the Platform
You can also revoke MemberTrace's access directly from the platform. Menu names may vary slightly as the platforms update their settings.
- Facebook and Instagram: in Facebook, open Settings & privacy → Settings → Business integrations, find MemberTrace, and choose Remove. Instagram accounts are connected through the linked Facebook Page, so removing MemberTrace there also revokes Instagram access.
- LinkedIn: open Settings & Privacy → Data privacy → Permitted services, find MemberTrace, and choose Remove.
- X: X accounts added by profile URL or @handle are read from public posts, and MemberTrace is not granted access to the account, so there is nothing to revoke; remove them in MemberTrace as described above. If your organization connected X by signing in, open Settings and privacy → Security and account access → Apps and sessions → Connected apps, select MemberTrace, and choose Revoke app permissions.
- YouTube and RSS: MemberTrace reads these from public channel and feed information and is not granted access to your account, so there is nothing to revoke. Remove them in MemberTrace as described above.
Revoking access on the platform stops MemberTrace from retrieving new posts. To also delete the stored connection and cached posts from MemberTrace, disconnect the account in MemberTrace as described above or contact us.
4. Request Deletion by Email
If you can't sign in to MemberTrace, or you want us to delete the data for you, email support@membertrace.com with the subject "Data deletion request." Include the name of your organization, the platform, and the name of the connected account. We may need to verify that you are authorized to act for that organization or account. We will delete the stored connection and cached posts for that account and reply to confirm once the deletion is complete.
5. Other Personal Information
To request access to, correction of, or deletion of other personal information, see "Your Privacy Choices and Rights" in our Privacy Policy or contact support@membertrace.com.
