Most small societies choose membership software once every several years, usually under time pressure: a renewal season that went badly, a volunteer who is stepping down, or a board that wants better numbers. This guide is for the part-time executive director, association management firm or volunteer officer who has to run that evaluation without a procurement team.
It's written by a vendor. We've tried to keep it even-handed: the questions below are the ones we'd want any society to ask us, too.
Start with your five workflows
Before you look at a single product, write down how these five things work today, who does them, and where they break:
- Joining and renewing. Applications, approvals, dues amounts by category, renewal reminders, and lapsed members.
- Taking money. Dues, event fees and donations, receipts, and reconciliation with the books.
- Running the annual meeting. Registration, member pricing, abstracts, agenda, CME credit tracking.
- Communicating. Renewal notices, announcements, board and committee updates.
- Reporting to the board. Members by category, renewals, revenue, meeting attendance.
Score each one: works fine, painful, or broken. The painful and broken ones are your requirements. Everything else is a nice-to-have.
Must-haves vs nice-to-haves
| Area | Usually a must-have for a small society | Often a nice-to-have |
|---|---|---|
| Member records | One record per member with status, category and dues history | Unlimited custom fields |
| Renewals | Automatic renewal reminder emails and online payment | Custom multi-step automation builder |
| Payments | Card payments with automatic receipts; processor-hosted card fields | Multiple payment processors |
| Events | Registration tied to member status and member pricing | Mobile check-in apps |
| Reporting | Board-ready counts without rebuilding a spreadsheet | Custom dashboards per committee |
| Support | Real people you can reach by email, chat or phone; onboarding help | Dedicated account manager |
| Data | Import from spreadsheets; full export if you leave | Open API |
Your list will differ. The point is to agree on it as a board before demos, so the shiniest demo doesn't win by default.
How vendors price
Vendors price by contacts, by active members, by your annual revenue, or by quote, and some bill only annually. Those differences can matter more than the headline number. We've collected published prices and the hidden costs to ask about in what association software costs a small society.
Running a fair demo
Demos are scripted to show a product at its best. Make every vendor show your scenario instead:
- Bring your own renewal. "A member in the trainee category renews late, during annual meeting registration, and wants the member rate. Show me every step, from the reminder email to the board report."
- Ask to see the admin side, not just the member portal.
- Ask who sets it up. Which parts are self-serve, and which does the vendor do?
- Ask what's included on the plan you'd actually buy, not the top tier. For example: are renewal reminders automatic on the entry plan?
- Time it. If a routine task takes ten clicks in the demo, it'll take ten clicks every week.
Migration and data questions
- What formats can you import, and who does the import?
- Can you bring in historical payments and membership terms, or only current records?
- How do you handle duplicates during import?
- What does a full export look like if we leave, and is there a fee?
- How long does a typical small society take to go live?
Cleaning your data before you move makes every system look better. The free Member Data Cleanup Checklist walks through deduplication, standard fields and consent.
Security questions for the board
Boards rightly ask where member data lives. Questions worth asking every vendor:
- Where is the system hosted?
- Is data encrypted in transit and at rest?
- How are backups done, and how long are they kept?
- Who processes card payments, and does the vendor ever see card numbers?
- How are admin roles and permissions handled?
- Which certifications or third-party audits do you hold, if any? Ask for documentation rather than relying on a logo.

Decision scorecard
Score each finalist from 1 (poor) to 5 (excellent) on the areas your board agreed matter. Weight the must-haves.

| Payments and receipts | 3 | |||
| Annual meeting registration | 2 | |||
| Board reporting | 2 | |||
| Support and onboarding | 2 | |||
